1. Information We Collect
When you create and use a Enterprise Portal account, we collect the following categories of information:
Firm and Account Information
- Firm name and appraiser license number
- Full name of the account holder
- Email address used for login and report delivery
- Password (stored as a one-way hash — we cannot recover it)
- Firm branding assets you provide (logo URL, tagline, website)
Billing and Credit Information
- Payment method details — collected and stored securely by Stripe. We do not store credit card numbers on our servers.
- Credit pack purchase history and current credit balance
- Stripe customer ID for payment management
Valuation and Claim Data
- Vehicle information: VIN, year, make, model, trim, odometer reading
- Claim information: claim number, insurer name, insurer's settlement offer
- Client information: client name entered by the appraiser for report purposes
- ZIP code used to locate comparable listings
- Comparable vehicle data retrieved from third-party market data sources
- Appraiser adjustments and notes entered during the review process
Usage Data
- Report generation counts and subscription usage for billing purposes
- Login activity and session tokens
2. How We Use Your Information
We use the information collected solely to provide and improve the Enterprise Portal service, including:
- Authenticating your account and maintaining your session
- Processing subscription payments and managing billing via Stripe
- Pulling live comparable vehicle listings from MarketCheck
- Generating white-labeled PDF appraisal reports via PDFMonkey
- Delivering completed reports to your registered email address via Resend
- Tracking report usage against your firm's available credit balance
- Displaying your firm name, license, and branding on generated reports
- Communicating with you about your account, billing, or service updates
We do not use your data or your clients' claim data for marketing, advertising, or any purpose beyond direct service delivery.
---3. Client Data Responsibility
When you enter client names, claim numbers, and vehicle information into the portal, you are doing so as a licensed professional. You are responsible for ensuring you have the appropriate authorization to process that information on behalf of your clients.
We treat all claim-level data as confidential and do not access, review, or share it outside of the technical processes required to generate your reports.

We use the following third-party services to operate the Enterprise Portal. Each is bound by their own privacy and data security policies:

We do not sell, rent, or trade your information to any third party for marketing or commercial purposes.
---5. Data Storage and Security
Your account and valuation data is stored on Xano's cloud infrastructure. Passwords are stored as one-way hashes and cannot be recovered. Payment information is handled exclusively by Stripe and is never stored on our servers.
PDF reports are generated and temporarily hosted by PDFMonkey on AWS S3. Download links expire within 1 hour of generation. We recommend saving a copy of every report to your own storage immediately upon receipt.
We implement reasonable technical and organizational measures to protect your data. However, no system is completely secure and we cannot guarantee absolute security.
---6. Data Retention
We retain your account and valuation data for as long as your subscription is active. If you cancel your subscription:
- Your account remains accessible for 30 days following cancellation
- After 30 days, your firm record, appraiser profile, and associated valuation history may be deleted
- We recommend exporting any reports you wish to retain before canceling

As a Subscriber you have the right to:
- Access the personal information we hold about you
- Correct inaccurate firm or account information
- Delete your account and associated data upon request
- Cancel your subscription at any time through the Stripe customer portal or by contacting support

---8. Cookies and Tracking
The Enterprise Portal uses browser localStorage and sessionStorage to maintain your login session and preserve form state between pages. We do not use advertising cookies. Google Analytics is used on our public marketing pages to track anonymous usage — it is not active within the authenticated portal.
---9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. Continued use of the Enterprise Portal following any changes constitutes acceptance of the updated policy. For material changes, we will notify active Subscribers by email.
